Here is a real day in the life of a railway track maintenance contractor using Smart School's Contractor Mode.
06:00 — The day starts
Rajesh, a railway contractor, opens his dashboard. He sees two work orders scheduled for today:
- KM 245-246 Rail Inspection — 4 labourers, 08:00-16:00
- KM 247 Sleeper Replacement — 6 labourers, 06:00-14:00
He taps the second order — the sleeper replacement — to check the checklist. The 7 tasks appear in the order he set in the template: mark, remove, extract, insert, refasten, verify gauge, photograph.
06:30 — Crew on site
The crew arrives at KM 247. Rajesh opens the work order to confirm who is assigned to each shift. (Shift attendance marking is being rolled out — today the crew is tracked through task progress and work-order assignments.)
08:00 — Second shift starts
The rail inspection crew starts at KM 245. Rajesh confirms the 4 labourers and the 08:00-16:00 shift on the work order.
10:30 — Updating progress
The sleeper replacement crew has finished 4 of 7 sleepers. Rajesh opens the checklist:
- Mark sleepers
— Done (100%)
- Remove fastenings
— Done (100%)
- Extract old sleeper
— Done (100%)
- Insert new sleeper
— In Progress (60%)
- Refasten
— Pending
- Verify gauge
— Pending
- Photograph finished work
— Pending
He taps Insert new sleeper,
taps Mark Done, and uses Take Photo — the phone camera opens and he shoots the new sleeper. The photo is optimized in the background (thumbnail, web, and PDF-ready sizes) and appears on the task within seconds.
14:00 — Sleeper job complete
All 7 tasks are Done. The work order auto-transitions to Done. Rajesh goes to Reports → New Report, picks the sleeper replacement order, and clicks Request PDF. The PDF is generated in the background with every photo embedded — he downloads it moments later.
16:00 — Rail inspection complete
Five of eight tasks are Done, two are Skipped (not applicable today), one is Pending (needs follow-up tomorrow). The work order stays In Progress.
17:00 — Publishing the report
Rajesh opens the sleeper replacement report and taps Publish — the report is stamped with the date and his name. He downloads the PDF (all 7 tasks, photos, and measurements embedded) and emails it to the railway supervisor himself. Built-in email and WhatsApp sharing is on the roadmap.
What Rajesh did NOT do
- He never typed a WhatsApp message listing what got done
- He never opened Excel to build a report
- He never WhatsApp'd photos to the supervisor one by one
- He never copied the checklist from a previous job — the template did it
Everything — the checklist, task progress, photos, and the report — went through the app.
